1. About this policy
Best Life Adventures Pty Ltd (BLA, we, us, our) runs guided wilderness expeditions, adventure retreats and corporate adventure programs in Australia and overseas.
We take your privacy seriously. This policy explains what personal information we collect, why we collect it, who we share it with, how we keep it safe, and how you can access, correct or complain about it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy applies to bestlifeadventures.com, to our booking and expedition management systems, and to every interaction you have with us — enquiries, bookings, expeditions, events and marketing.
2. What we collect

2.2 Sensitive information
Health information is sensitive information under the Privacy Act and attracts stronger protection. We collect it only with your consent and only where we genuinely need it to run your trip safely.
You give that consent when you complete your Participant Information Form and accept our Booking Terms and Conditions.
We use health information for one purpose: keeping you and the group safe. That includes trip planning, risk assessment, and giving what a treating doctor, guide or evacuation service needs in an emergency.
If you choose not to give us this information, we may not be able to accept your booking — because we cannot assess whether we can run your trip safely. That is a genuine operational limit, not a sales tactic.
2.3 Information we collect automatically
When you visit our website we collect:
IP address, browser type, device type and operating system
Pages viewed, time on page, and the site or ad that referred you
Email opens and link clicks in our newsletters
We collect this through Google Analytics, the Meta (Facebook/Instagram) advertising pixel, and Klaviyo. See section 6.
2.4 Payment information
We do not store your full card details. Payments are processed by our payment providers, who handle card data under their own security standards and privacy policies. We see only enough to reconcile your payment — for example the amount, the date and the last four digits.
The providers we use are:
WeTravel — our booking platform, and the way most payments are made
Stripe
PayPal
There is no surcharge for direct bank transfer.
2.5 Information from others
We may receive information about you from:
A person who books on your behalf, such as a partner, colleague or corporate organiser
Your employer or forum organiser, for corporate and forum retreat bookings
Our suppliers and guides, where it relates to your trip
If you give us someone else's personal information — an emergency contact, or a fellow traveller — please make sure they know and agree.
3. Why we collect it
We use your personal information to:
Respond to your enquiries
Take and manage your booking, and process payments
Book flights, accommodation, permits, guides and transport on your behalf
Assess whether you can safely participate, and plan for your medical needs
Communicate with you before, during and after your trip
Respond to emergencies, including arranging medical treatment and evacuation
Meet legal, tax, insurance and safety obligations
Improve our trips, our website and our service
Send you marketing about our trips and events, where you have not opted out (see section 5)
Handle complaints and resolve disputes
We will not use your personal information for an unrelated purpose without telling you or getting your consent, unless the law requires or permits it.
4. Who we share it with
Running an expedition means working with other people. We share only what is necessary, and only with:
Trip suppliers — airlines, accommodation providers, ground operators, local guides and crew, permit authorities, and transport operators in the destinations you travel to.
Emergency and medical providers — doctors, hospitals, evacuation and repatriation services, and your travel insurer, where needed to get you help.
Our booking and business systems — our booking platform (WeTravel), our email marketing platform (Klaviyo), our website host (Squarespace), our email and document systems (Google Workspace), our accounting system, and the tools that connect them.
Advertising and analytics providers — Google and Meta, as described in section 6.
Professional advisers and authorities — our insurers, lawyers and accountants, and government or law enforcement bodies where the law requires it.
We do not sell your personal information.
4.1 Overseas disclosure
Because we run international expeditions and use international software, your information will be disclosed overseas.
The countries this is likely to involve are:
United States — WeTravel, Klaviyo, Squarespace, Google, Meta, and other software providers
The destination country of your trip — currently including Nepal, India, the Solomon Islands, Norway, Sweden, Finland, New Zealand and other countries as our program changes
Before disclosing your information overseas we take reasonable steps to ensure the recipient handles it consistently with the APPs. However, you should be aware that privacy laws in some destination countries are weaker than Australia's, and in an emergency we will always prioritise getting you medical help over restricting the flow of information.
5. Marketing, and how to stop it
If you enquire, subscribe or book with us, we may send you emails about our trips, events and offers.
You can opt out at any time. Every marketing email has an unsubscribe link at the bottom, and it works immediately. You can also email us using the details in section 11 and we will remove you.
Opting out of marketing does not stop the messages we must send you about a trip you have booked — payment reminders, joining instructions, itinerary changes and safety information.
We do not use or disclose sensitive information for direct marketing.
6. Cookies and online tracking
Our website uses cookies and similar technologies. Some are necessary for the site to work. Others help us understand how the site is used and show you relevant advertising.
The tools we currently use are:
Google Analytics — measures how people find and use our website
Meta (Facebook/Instagram) pixel — measures ad performance and shows our ads to people likely to be interested
Klaviyo — runs our email sign-up forms and tracks email opens and clicks
Squarespace — hosts the website and provides basic site analytics
YouTube — plays embedded videos; YouTube may set its own cookies
You can block or delete cookies through your browser settings. Some parts of the site may not work properly if you do.
You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout, and manage Meta ad preferences in your Facebook or Instagram account settings.
7. Photography and footage
We take photographs and video on our expeditions, and we use them in our marketing.
Our Booking Terms and Conditions (clause 30) set out the licence you give us. In short: you allow us to use images of you taken on the trip for promotional purposes, and we will not use close-up photographs of you without asking first.
If you would prefer not to appear in our marketing, tell your group leader or email us — before or during the trip — and we will respect that.
8. Keeping your information safe
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include:
Access controls and multi-factor authentication on our business systems
Reputable providers who maintain their own security standards
Limiting staff and contractor access to what each person needs to do their job
Encrypted transmission of data to and from our website
No system is completely secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
8.1 How long we keep it
We keep your personal information only as long as we need it — for the trip, and afterwards for the periods our legal, tax, insurance and safety obligations require. Records connected to an incident or injury are kept longer, because a claim can be brought years later.
When we no longer need it, we destroy it or de-identify it.
9. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong, out of date or incomplete.

Not charge you for making the request
There are limited circumstances where the law allows us to refuse — for example, where releasing the information would unreasonably affect someone else's privacy. If we refuse, we will tell you why in writing and explain how to complain.
10. Complaints
If you think we have mishandled your personal information, tell us first. Email us using the details in section 11 with the word Privacy Complaint in the subject line.
We will acknowledge your complaint within 7 days and give you a written response within 30 days.

12. Anonymity
Where it is lawful and practical, you can deal with us anonymously or under a pseudonym — for example, when making a general enquiry. We cannot take a booking anonymously, because we need your identity for travel documents, permits and safety.
13. Children
Minimum ages vary by trip:
Best Life Expeditions (such as Everest Base Camp) and Extreme Dreams Expeditions — minimum age 15
World's Highest Road (motorbike) — a higher minimum applies, because riders must hold a motorcycle licence
Family Adventures — no minimum age
The minimum age for your trip is set out in its Expedition Information Kit.
Anyone under 18 is a minor, and a parent or legal guardian must complete the booking, accept our Booking Terms and Conditions, and sign the Participant Information Form on their behalf. Participants under 18 must travel with a legal guardian or an appointed adult escort.
Where a participant is under 18, we collect their personal and health information from their parent or guardian, and we deal with that parent or guardian on all privacy matters — including access, correction and complaints.
14. Changes to this policy
We may update this policy from time to time. The current version is always available at bestlifeadventures.com, and the version date appears at the top.
If we make a significant change, we will tell you by email or by a notice on our website.
15. Automated decision-making
We do not currently use automated systems to make decisions that significantly affect you. Decisions about whether you can safely join a trip are made by a person.
